What custodian banks record versus what you should keep privately
Branch access logs show when a box was opened, not what was inside. Your private ledger fills that gap.
Banks maintain excellent security records. Their systems track who entered the vault room and when. They generally do not maintain itemised inventories unless you rent additional custodial services.
Bank records typically include
- Rental start date and renewal history
- Names on the authorisation card
- Timestamped access logs
- Fee payment status
Bank records typically exclude
- Descriptions of documents or valuables inside the box
- Which items moved between boxes at the same branch
- Location of duplicate keys held off-site
- Family agreements about who may access after a death
Your private register should capture
Cross-branch mappings, category descriptions, key envelope locations, and amendment history. Store it separately from the box itself — many clients keep registers with their solicitor or in a home safe distinct from vault keys.
Privacy considerations
